Effective date: 1 February 2026

Version: 1.0

1. Introduction

AEICORP respects your privacy. This Privacy Policy explains what personal data we collect when you use our website at aeicorp.org, how we use it, who we share it with, and the rights you have in respect of it.

2. Who we are

The Africa Energy Investment Corporation (AEICORP) is an intergovernmental development financial institution established by the member countries of the African Petroleum Producers’ Organization (APPO) and headquartered in the Republic of Benin. For the purposes of this Policy, AEICORP is the controller of the personal data we collect through the Website.

3. What this Policy covers

This Policy covers personal data we collect through aeicorp.org, including data submitted through forms (such as career applications, partner inquiries, contact forms, newsletter sign-ups and event registrations), data we receive when you email us in response to information on the Website, and technical data collected automatically when you visit the Website. Other processing carried out by AEICORP outside the Website is covered by separate notices issued at the point of collection.

4. Personal data we collect

Depending on how you interact with us, we may collect:

  • Identification and contact data such as your name, title, employer, email address, phone number and postal address.
  • Professional and career data such as your CV, education, employment history and references, where you submit a career application.
  • Engagement data such as the content of messages you send us through forms or by email.
  • Event data such as your registration, attendance and any accessibility or dietary requirements you provide.
  • Technical data such as your IP address, device type, browser, operating system, the pages you visit, the time of your visit and approximate location derived from your IP address.

We do not deliberately collect sensitive personal data. Where you choose to share sensitive information with us (for example, accessibility requirements for an event), we use it only for the purpose for which you provided it.

5. How we use your data

We use your personal data to:

  • Respond to your inquiries and communicate with you.
  • Consider and process career applications.
  • Consider partnership and counterparty inquiries.
  • Administer events you register for.
  • Send you publications, newsletters or announcements you have requested.
  • Operate, secure and improve the Website.
  • Carry out integrity due diligence in line with our Compliance Framework.
  • Comply with our institutional, governance and policy obligations.
  • Protect our rights, property, archives, premises and personnel.

6. The basis on which we process your data

We process your personal data on one or more of the following bases: your consent, where you have given it; the steps necessary to respond to a request you have made; our legitimate institutional interests in pursuing our mandate, where these are not overridden by your rights; compliance with our constitutive instruments and policies; and protection of vital interests where relevant.

7. Sharing your data

We share personal data only where it is necessary and appropriate, and only with the following categories of recipient:

  • Our staff, on a need-to-know basis.
  • APPO institutions and our member states, where necessary for the discharge of our mandate.
  • Co-financing institutions and partners, where necessary for transactions or due diligence.
  • Service providers acting on our written instructions, including hosting, email, customer relationship management, recruitment and integrity due diligence providers.
  • Our professional advisers (legal, audit, tax, security) under duties of confidentiality.

We do not sell your personal data and we do not share it with advertising networks or data brokers.

8. International transfers

Because we operate across Africa and engage internationally, your personal data may be transferred outside the Republic of Benin in the course of our activities. Where we transfer personal data internationally, we require recipients to apply appropriate safeguards through contractual commitments or equivalent arrangements.

9. How long we keep your data

We keep personal data only for as long as we need it for the purposes set out in this Policy. In practice:

  • Correspondence is kept for as long as needed to manage the relationship and thereafter for institutional records.
  • Career applications are kept for the recruitment process and for a reasonable period afterwards to consider you for further opportunities, unless you ask us to delete them sooner.
  • Event registrations are kept for the period needed to administer the event and for follow-up.
  • Newsletter subscriptions are kept until you unsubscribe.
  • Records subject to our compliance, audit or archives obligations are kept for the periods set by those obligations.

10. Your rights

Subject to our privileges and immunities and to any applicable institutional requirements, you have the right to:

  • Be informed about how we process your personal data.
  • Request access to the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete personal data.

  • Ask us to restrict processing in certain circumstances.
  • Object to processing based on our legitimate institutional interests.
  • Ask us for a portable copy of personal data you have provided to us.
  • Withdraw any consent you have given, without affecting prior processing.

To exercise any of these rights, please contact us at privacy@aeicorp.org. We will respond within a reasonable period, ordinarily not exceeding thirty calendar days. We may need to verify your identity before responding.

11. Cookies

The Website uses cookies and similar technologies. We use strictly necessary cookies to operate the Website, functional cookies to remember your preferences and analytics cookies to understand how the Website is used. Non-essential cookies are set only with your consent, which you can give or withdraw through our cookie banner. You can also manage cookies through your browser settings.

12. Security

We protect personal data with appropriate organisational, technical and physical measures, including encryption, access controls on a need-to-know basis, multi-factor authentication for our staff, regular security assessments and incident response procedures. While no system is entirely free from risk, we work continuously to keep your data safe.

13. Children

The Website is not directed at children, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.

14. Automated decision-making

We do not make decisions about you solely on the basis of automated processing that produce legal or similarly significant effects on you. Where we use automated tools, including for sanctions and adverse media screening of counterparties, any resulting decision is reviewed by a member of our staff.

15. Privileges and immunities

Nothing in this Policy constitutes a waiver, express or implied, of the privileges and immunities of AEICORP, its officials, its archives, its premises or its communications under its constitutive instruments, the Headquarters Agreement with the Republic of Benin, or international law. We engage with data protection authorities cooperatively and through appropriate channels.

16. Changes to this Policy

We may update this Policy from time to time. The current version is the version published on the Website with the effective date shown above. Material changes will be communicated through the Website.
